Care-home SaaS outages: Plan continuity before the documentation service fails

Availability promises do not replace downtime procedures. Prepare critical information, fallback workflows and a controlled return to normal operation.

Contesto e fonti

BSI Standard 200-4 addresses continuity of important activities through analysis, preparation and exercises, not simply server repair. Care facilities need to identify activities that must continue without their usual software. [1]

Backups and immediately accessible emergency information solve different problems. Restoration plans must match operational deadlines; information restored hours later may be too late for an immediate task. [2]

Section 630f BGB requires timely recording within the treatment relationship. Define fallback recording and traceable later reconciliation rather than assuming one mandatory paper or export format for every setting. [3]

Ambito e limiti

An outage-related error is not automatically gross malpractice, and an SLA does not automatically remove all claims. Daily exports may also be too old for frequently changing information.

Spiegato in modo semplice

Fictional example: During downtime, staff use an agreed fallback, check its timestamp and clarify subsequent changes with responsible professionals. An exercise exposes missing contacts.

Raccomandazioni pratiche

Our recommendation: Define critical information and deadlines with care staff. Make a protected fallback accessible during the specific outage being planned, with clear timestamps. Prepare alternative recording, contacts and change handling.

A second internet connection helps local connectivity failures, not every supplier outage. Exercise restoration and reconciliation, avoiding duplicate records. Agree export and recovery capabilities with the vendor rather than relying solely on an availability percentage.
